IHealth: Early Learnings from RJH and VGH ClinDoc Activation

This letter from Dr. Hayley Bos and Dr. Brian Mc Ardle was circulated to Medical Staff on March 28, 2022

We are pleased to share this summary of “early learnings” from medical staff following activation of electronic clinical documentation at RJH and VGH. This summary is the result of engagement with many individuals and stakeholder groups in dialogue around lessons learned.

We appreciate the valuable insights of our medical colleagues who provided feedback in post go-live surveys, and the opportunity to engage in dialogue with department heads, SIMAC, South Island MSA leadership, Geo 4 medical leadership, peer mentors, IHealth Site Leads and Specialty Leads, physician informatics, and the IHealth project team.

The early learnings, along with the actions outlined in the report, capture the experience shared by medical staff, and contributed to adjustments that will make the biggest difference as “pay-it-forward” advice for other sites activating clinical documentation and, eventually, Computerized Physician Order Entry (CPOE).

In summary, the top three early lessons include:

  1.  The importance of ensuring specialty specific templates are available prior to future activations
  2. In-the-moment “go-live” support is critical to the success of the activation and encouraged team well- being during the change
  3. Collaboration with all levels of Medical Staff is foundational; communication needs to continue to improve

The process of dialogue leading to this report was an instrumental step in advancing this work. It will assist the teams in addressing concerns and issues raised by you, so that we may continually work to improve the system and your experience working with it, supporting you to continue to provide high quality care for patients.
